About the role
We are seeking a highly motivated, detail-oriented, solution-focused Office and Administration manager for our San Diego site. The Office and Administration manager must be a leader with proven experience in building effective and collaborative relationships across organizations. The successful candidate is a self-starter and understands the business priorities and work with little supervision. The candidate must have strong achievement drive, with an impeccable work ethic, and provide support for the site as well dedicated support to the San Diego VP and SVP. The ideal candidate will have full mastery of traditional administrative tasks (e.g. strategic calendar management, expense processing, travel booking, etc.) and be driven to create an energized environment that promotes collaboration, creativity, and fun for employees.
Key Responsibilities:
- Meets deadlines, demonstrating initiative and independence in completing tasks. Frequently meets and anticipates needs; consistently recognizes ways to offer additional support, completing tasks to satisfaction.
- Partners closely with administrative managers at other sites, the Operations team, and the HR team to develop and deliver on a variety of company projects and initiatives.
- Works closely with HR, managers, and IT to welcome candidates onsite for interviews and help facilitate in-person onboarding tasks with new hires.
- Applies administrative skills to create quality documentation, presentations, and office systems; acts independently, with minimal supervision. Consistently produces high quality work.
- Manages and maintains select calendars and meetings, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of meetings and travel.
- Demonstrates proficiency in organizing and preparing for visitors and meetings including preparation of meeting agendas, making reservations, planning dietary needs, scheduling travel arrangements, communicating essential information to participants, etc.
- Uses good judgment in setting work priorities, planning and organizing workload during many interruptions. Demonstrates ability to work with deadlines and handles emergent situations calmly.
- Assists with confidential and/or sensitive matters; provides explanation and support where needed.
- Responsible for office supplies, office equipment, and errands; partners with Operations for facility related services (ex. Janitorial), liaising with local property management team, and supporting, as required, shipping and receiving for the office and lab.
- Positively represents the team and Company to internal and external contacts, including company executives, Board members, potential business partners, and vendors.
- Demonstrates poise and flexibility in a fast paced and dynamic environment. Able to prioritize and manage multiple projects simultaneously, and follows through on issues in a timely manner
About you
We are seeking an exceptional candidate with the following qualifications:
- Bachelor’s Degree required
- Minimum five years of experience as a Senior-level administrative assistant in a corporate setting; experience in a tech/biotech start-up is desired
- Ability to navigate and be successful in a fast-paced, dynamic work environment
- Strong work ethic with high standards, exuding high energy and self confidence
- Demonstrates good judgment and discretion on a consistent basis
- A team player who is helpful and collaborative, always interested in helping others succeed
- Solution-focused and pro-active with flawless attention for details
